The Corporation of the Town of Parry Sound Jobs Description Skills / Qualification/ Responsibility

  • Based out of the Electrical Division Edmonton (EDE) location, the Document Control Administrator will report to the Senior administrative clerk of the Project Management department. The Document Control Administrator will be responsible for preparation and execution of the companys Document Control and Records Management (DCRM) program as it relates to people, processes, and technology.

    The Document Control Administrator will be required to administer, issue, receive, maintain, and document metadata for all customer defined project documentation deliverables and notify affected parties within the constraints of company document management system and policies.

    Essential Responsibilities

    • Responsible for processing all incoming and outgoing project specific documentation.
    • Executes The Corporation of the Town of Parry Sounds Documentation Standard on Standard Projects.
    • Executes project-specific advanced documentation requirements, meeting customers expectations.
    • Develops and consistently updates metadata within master document lists for documentation deliverables.
    • Ensures proper collection, handling, approval, distribution, revision, storage, and disposal of the various types of project documentation and records. Documentation may consist of drawings, specifications, manuals, and procedures either in hard copy or electronic media.
    • Reviews and verifies project documentation for completeness, format, and compliance with contract requirements.
    • Works with Customers, Project Managers, Engineering, Purchasing, Quality and Suppliers to ensure project documentation is controlled and submitted/received on schedule.
    • Provides training and support to other project teammates in tracking documentation and preparing it for submittal.
    • Acts as back-up to other co-workers in the Document Control Department.
    • Provides input toward the departments goals/objectives/processes/procedures.
    • Takes meeting minutes and action items during meetings and performs basic follow-ups as required and as related to Document Control/Project Management.
    • Set Up Monthly Meetings (Pre-Project Review Meeting, Large Project Review Meetings (LPRM), Small Project Review Meetings (SPRM) – Print Agenda and Sign In Sheet for LPRM.
    • Invoicing & management of A/R overdue invoicing.
    • Reception coverage, as required.
    • Other duties as applicable.

    Qualifications

    • Minimum education level of High School Diploma is required. Degree preferred.
    • 1-3 years experience in an administrative role or related position.
    • Prior background in document control would be an asset.
    • Experience with Adobe Pro, Microsoft Office Suites, and FTP sites preferred.

    Working Conditions

    • Temperature controlled working environment.
    • Job requires working in an office setting.
    • Working in front of a computer for the majority of the shift.
